Privacy policy

What we collect
- Account details: names, email addresses and roles of the people on your team, and a scrambled (hashed) form of each password. We can't read your password.
- Your maintenance records: locations, equipment, rooms, PM schedules, repairs, logs, contractor items and anything else you enter.
- Photos you send for reading: data plate photos are sent to our AI provider to read the text and are not kept by BuildKeep. Only the text you save is stored.
- Usage records: sign-in times, and for each AI job its type, size and cost, so we can bill fairly and keep AI spending under your allowance.
How we use it
Only to run BuildKeep for you: to store and show your records, keep your devices in sync, run the AI features you turn on, provide support and bill you. We don't sell your information or use it for advertising.
Who processes it for us
- Render hosts the BuildKeep server and database in the United States.
- Anthropic runs the AI that reads plates and writes PM plans when your account's API mode is on. What we send it is limited to the job at hand (for example one photo or one equipment item), under Anthropic's commercial terms.
- Stripe handles payments. We don't see or store your full card number.
How we protect it
All traffic is encrypted with HTTPS. Passwords are stored only as salted hashes. Each customer's records are kept separate from every other customer's. Only your team, and we when you ask for support, can see your records.
How long we keep it
We keep your records while your account is open. If you cancel, you can download your data first; we delete it within 90 days, and daily backups age out within 14 days after that.
Your choices
You can download a full backup from the Locations tab at any time, correct anything in the app, or ask us to delete your account by emailing [email protected].
Changes
If we change this policy we'll post the new version here and tell account admins by email.
